Privacy policy
Diversity Solutions Ltd ("we", "us") is a New Zealand company. This policy covers this website, our consulting services and Docket AI, our service line for trade businesses. It explains how we handle personal information under the Privacy Act 2020. Last updated [date].
What we collect
- Details you give us through this website, by email or by phone: name, business, email, phone and your message.
- For clients: information in the systems you give us access to, such as customer, job, invoice and reporting records, only as needed to deliver and support the work.
- If you use the Docket AI Missed Job Check: the numbers you enter, your contact details, trade, region and how you found us. We use these only to send your report and follow up on it.
- Basic technical information such as your IP address, used to protect the site from abuse.
How we use it
To reply to enquiries, deliver and support the services you engage us for, invoice you, and keep the site secure. We don't sell personal information, and we don't use client data for our own marketing.
AI and other service providers
We use service providers for hosting, email and AI processing, some of which store or process data outside New Zealand: [list providers and countries]. Before we use an AI tool on client data, we tell you which tool, what data it sees and where it is processed, and we get your agreement. We require providers to protect information to a standard comparable to the Privacy Act 2020. We share information with others only when the law requires it.
How long we keep it
Enquiries and Missed Job Check details: [12 months] unless you become a client. Client records: for the length of the engagement plus [7 years] for tax records. We remove our access to your systems when the engagement ends.
Security
We use access controls, encrypted connections and the minimum access needed. If a privacy breach is likely to cause serious harm, we will notify you and the Office of the Privacy Commissioner as the law requires.
Your rights
You can ask to see or correct personal information we hold about you by emailing vishal@diversitysolutions.co.nz. If you're not happy with our response, you can complain to the Office of the Privacy Commissioner (privacy.org.nz).
